Office Assistant/Receptionist


The Office Assistant is responsible for handling the front desk, the mail room and various office management tasks.  The incumbent answers incoming calls, directs calls to appropriate associates, greets visitors, and distributes the mail.  The Office Assistant also supports various office management priorities.  This person must be exceedingly professional, well organized, flexible and enjoy the administrative challenges of supporting a variety of needs.


  • Greet guests in a professional, friendly and hospitable manner; monitor visitor, vendor and technician access
  • Professionally administer all incoming calls and ensure phone calls are redirected accordingly
  • Take and deliver phone messages for various personnel
  • Submit requests for new access cards and cancelations through building work order system
  • When appropriate, provide visitors with parking stickers and keep track of inventory
  • Coordinate the pick-up and delivery of courier services. Assist with express mail services (FedEx, UPS, etc.)
  • Maintain reception area and lobby
  • Maintain order and cleanliness of conference rooms, supply rooms and kitchen
  • Assist with the ordering, receiving, stocking, distribution and replenishment of kitchen supplies
  • Assist with conference room scheduling and calendar management
  • Code and process the Human Resources Department’s invoices
  • Submit maintenance requests to property management
  • May also assist with other related administrative duties as requested by manager


Mail/Office Supply Room

  • Promptly receive, sort and forward/distribute incoming daily mail and packages
  • Handle outgoing mail by preparing it for shipment, as well as logging and shipping overnight packages
  • Track all incoming shipments and deliveries
  • Keep inventory, manage and order general office supplies within budget
  • Keep inventory, organize and maintain the mailing supplies
  • Contact approved vendors to reorder routine supplies; process invoices related to office supply requests



  • 2+ years administrative assistance experience required, with reception experience preferred
  • AA degree or higher preferred
  • Strong working knowledge of Microsoft Applications: Word, Excel, Outlook and PowerPoint
  • Exceptional professionalism and service orientation.
  • Excellent written and verbal communication skills are necessary.
  • Impeccable organizational, time management and multi-tasking skills, as well as attention to detail
  • Self-starter, ability to independently resolve inquires and issues with skill and sound judgment
  • Ability to maintain poise in a fast-paced environment and ability to work well under stressful situations
  • Must be able to demonstrate discretion in handling confidential information

Working Conditions

While performing the duties of this job, the Associate is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop. The Associate must occasionally lift and/or move up to 25 pounds. Evening and/or weekend work may be necessary to meet deadlines.
